Reliable Supplier Procurement

We manage Procurement in Asia, covering the entire process from supplier search, auditing, and validation to production monitoring and shipment coordination.

With over 17 years of experience, we have strengthened our working methodology through a deep understanding of China’s commercial and industrial culture.

Methodology

Our methodology consists of 3 stages and 7 phases, designed to ensure successful sourcing in terms of both quality and timing:

Stage 1

Supplier sourcing, factory audit, and validation.

  • ✔ Identify suitable suppliers.
Request accreditation proving they are manufacturers.

✔ Request business references and experience in the industry.

✔ Request business licenses, operating permits, and certifications.

✔ Request quotations for products and existing samples at the factory (reference costs).

Phase 1-1

  • ✔ Verify the legality of business licenses, operating permits, and certifications provided by suppliers during Phase 1.

✔ Establish contact with production managers, owners, or decision-makers at the factory to verify installed and operational capacity, as well as their quality culture and the company’s commitment to manufacturing the equipment or systems as requested.

✔ Obtain a proforma invoice for the equipment selected by the client.

Phase 1-2

Stage 2

Purchase order management, raw material evaluation, and in-production inspection

  • ✔ Accompany the client in preparing the Purchase Order (PO), including the production schedule, penalties, testing and evaluations, packaging and packing specifications, shipping marks, required shipping documentation, etc.

✔ Ensure that the production manager understands, in their native language, the requirements and conditions outlined in the specifications attached to the client’s PO (equipment or system description, quality standards, packaging, delivery dates, payment terms, etc.).

Ensure that the production manager has the correct technical specifications in their possession.

✔ Obtain a formal commitment from the production manager to comply with the PO requirements.

✔ Confirm the manufacturing schedule with the production manager and ensure compliance through ongoing follow-up with the factory.

✔ Confirm the schedule for evaluations, pre-shipment inspection, and loading.

Phase 2-1

  • ✔ Validation of the arrival of critical supplies on the correct dates and in the expected quantities.

✔ Various tests to be coordinated with the client.

Phase 2-2

  • ✔ Progress evaluation to ensure the agreed delivery date is met.

✔ Verification of the quality standard at critical points.

Phase 2-3

Stage 3

Pre-shipment inspection and loading supervision

  • ✔ Verification of packaging and shipping marks.

Phase 3-1

  • ✔ Evaluation of the container to ensure it is in good condition.

✔ Verification of the loading: complete system or equipment at the factory.

✔ Verification of the correct stowage of the equipment inside the container.

Phase 3-2
